We are looking to expand our team in California and are looking for two new team members:

International Sales and Marketing Assistant - Full Time

$32,000+ Salary commensurate with experience and some benefits

Are you a graduate with some working experience, preferably in a sales role in the conservation or travel fields? Are you looking for a dynamic sales and marketing position where you can combine learning new business skills with a passion for wildlife? If so, then we could be looking for you.

African Conservation Experience is the original and most experienced company to organise volunteer placements on wildlife conservation projects in southern Africa. We are looking for a proactive and independent individual to fill the role of International Sales and Marketing Assistant to help recruit volunteers from diverse target markets in the Americas. This role will allow you to interact with people from all backgrounds and use your passion for Africa and conservation to help recruit international conservation volunteers. Working closely with our UK-based Marketing Manager, you will assist in implementing marketing strategies in the US. The role might involve flexible hours and regional travelling.

Core Responsibilities

You will be:

    • Speaking over the phone to potential volunteers about our conservation projects and how to get involved
    • Giving talks to potential volunteers at schools, universities and other groups and organising and participating in gap year fairs and exhibitions
    • Following up leads, answering inquiries by email and phone and providing excellent customer service
    • Liaising with colleges and universities and our SA Operations Manager to provide group trips and develop itineraries
    • Working with our web-based management system to schedule volunteers’ placements
    • Responsible for general office work, such as record keeping, administration and ensuring emails are dealt with, even when out of the office

    You will also be involved in the initial set-up of our US office, assisting with tasks such as sourcing premises and office supplies and setting up computer networks and communications.

    You must have access to your own car in order to travel to regional events

    Essential skills

    You must be:

          • Passionate about wildlife, conservation and travel
          • Qualified with an undergraduate degree, preferably in wildlife management, zoology, conservation biology or similar
          • Able to be based in our new office in Oakland or Sacramento
          • Experienced in providing excellent customer service with high levels of personal support
          • Able to travel to venues around the US, at times for extended periods and during unsociable hours
          • Confident in public speaking to a range of audiences
          • Capable of talking to people from a range of countries and cultures
          • Confident in networking and developing relationships with key contacts
          • Competent in working with basic software packages
          • Able to work independently with minimal supervision and as part of a small dedicated team
          • Eligible to live and work in California. ACE will not be able to arrange work visas.

    The role may require some evening and weekend work, as well as occasional overnight stays.

    Desirable skills

          • Experienced in sales and / or marketing role in the travel or conservation fields
          • Knowledgeable about South Africa / previous travel experience in southern Africa

    Office Manager (part time)

    $16,000+ salary commensurate with experience and benefits, preferably five mornings per week.

    Are you an experienced office administrator, passionate about conservation and travel? Are you looking to join a global team in an exciting new phase of expansion and help set up the first US ACE office?

    African Conservation Experience is the original and most experienced company to organise volunteer placements on wildlife conservation projects in southern Africa. We are looking for a proactive and experienced individual to fill the role of Office Manager to support the recruitment of conservation volunteers from the Americas. This is a part time role, working closely with the International Sales and Marketing Assistant based from the same US office, with direct support from the UK Manager.

    Purpose:

    Responsible for the management of the US office, administration and logistics of volunteer placements.

    Core responsibilities:

    You will have a key responsibility, with support from the UK Manager, for the initial set-up of our US office, assisting with tasks such as sourcing premises and office supplies and setting up computer networks and communications.

    • Management of office administration, payroll, banking, printing and re-ordering of stock, invoicing, filing, data entry and organising mail.
    • Responsible for creating and sending out information packs to volunteers including all travel documents, confirmations and fund raising packs.
    • Building relationships with travel agents to book flights and processing of insurance policies
    • Liaising directly with volunteers globally for travel information and assisting with travel procedures.
    • Maintaining and working effectively from our online business management system.
    • Liaising with, and building partnerships with travel agents and insurance companies.
    • Liaising with projects in southern Africa to send them volunteer information
    • Liaising with SA Manager regarding volunteer movements and changes to itineraries.
    • Overseeing payments, sending reminders and invoices.
    • Responsible for office maintenance, equipment and operations including business insurance.
    • Carry out other duties as required to support a small, dedicated team.

    Person specification:

    • Highly experienced in office administration, preferably in a key responsible role.
    • Good knowledge of IT packages and ability to learn online business management systems.
    • Excellent verbal and written communication skills, with many volunteers who do not speak strong English. Comfortable with tele-communications via skype.
    • Ability to work with volunteers and staff from a range of backgrounds and cultures, with awareness of time zones.
    • Very organised, self motivated and methodical individual is sought in this role, who can remain calm and use initiative.
    • Willing to work on their own at times, ability to prioritise and meet deadlines
    • Able to be based in our new office in Oakland / Sacramento

    Desirable Skills:

      • Interest in conservation and wildlife an advantage
      • Experience in the travel industry
      • Previous travel experience in southern Africa
